dog2show ("we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and share your personal data when you use the dog2show platform (the "Service").
We process personal data in accordance with the General Data Protection Regulation (EU) 2016/679 ("GDPR") and applicable local data protection laws.
1. Data Controller
dog2show is the data controller for the personal data collected through the Service. For questions regarding your data, contact us at legal@dog2show.com.
2. Data We Collect
2.1 Account Information
When you create an account, we collect:
- Full name
- Email address
- Phone number (optional)
- Address and country (optional)
- The site language you signed up in, so we can send account emails (verification and password codes) in it
- Which version of our Terms of Service you accepted, and when, as a record of the agreement
2.2 Dog Profile Data
When you register dogs on the platform, we collect:
- Dog name (call name and registered name)
- Breed, gender, date of birth, color
- Pedigree/registration number, microchip number, tattoo number
- Sire and dam information
- Photos and documents (champion certificates, working certificates)
- Photos of pedigree documents you upload so we can read them automatically. Pedigrees can include the names of breeders and owners.
- Health and breeding status information
- Show results and titles you record for your dogs
2.3 Breeder and Kennel Data
If you register as a breeder, we additionally collect:
- Kennel name and FCI registration number
- Breed specialties
- Contact information (phone, email, website, social media links), optional
- Kennel description, logo, and gallery photos
- Kennel address: city and country, and a street address if you choose to give one
- For your kennel's website: your story in the language you write it, its translations into the Service's other languages (made automatically, or corrected by you), and the logos and photos you choose for the website
2.4 People Who Contact a Kennel Through Its Website
A kennel's website on dog2show (an address such as kennelname.dog2show.com) has a contact form. When you send a message with it, we collect:
- Your name, email address and, if you give it, your phone number
- Your message, and the page and language of the website you sent it from
- A code computed from your IP address with a key that changes every day. It doesn't contain the address, is used only to stop repeated or automated messages, and is removed within 48 hours
We deliver your message to the kennel by email, so that the kennel can reply to you, and keep it so the kennel can find it on dog2show. You don't need an account, and we don't send you anything ourselves. Once the kennel has your message, it uses your details as its own controller, to answer you. To have your message deleted, or to use any of your other rights, write to legal@dog2show.com.
2.5 Data About People Who Are Not Users
Pedigrees and results entered on the Service can name the breeders and owners of other dogs, and the judges of a show, including people who don't have an account. We keep these names because they are part of a dog's pedigree and competition record, which the dog community relies on being complete (legitimate interest). Anyone named this way can ask us to correct or remove their name at legal@dog2show.com.
Kennels can also publish photos of the families their puppies went to, which our Terms allow only with those families' consent. Anyone shown in such a photo can ask us to remove it at legal@dog2show.com.
2.6 Automatically Collected Data
We automatically collect:
- IP address and approximate location
- Browser type and operating system
- Pages visited and actions taken on the Service
- Date and time of access
- Referring website
Usage statistics through Google Analytics are collected only if you accept statistics cookies in our cookie banner. See our Cookie Policy.
Kennel websites on dog2show use no analytics and no tracking cookies: only the server logs described under Data Retention, and a cookie that remembers the language the website was shown in.
3. How We Use Your Data
- Provide the Service: Create and manage your account, display dog profiles, pedigrees and results, and facilitate communication between users.
- Read Pedigree Documents: When you upload a photo of a pedigree, we extract the ancestors' names and registration details to fill in your dog's pedigree for you to review.
- Kennel Websites: Publish a kennel's website from its data on the Service, translate its story into the Service's languages automatically, write a first draft of the story when the kennel asks for one, and deliver messages sent through the website's contact form to the kennel.
- Improve the Service: Analyze usage patterns to improve features, fix issues, and develop new functionality.
- Communicate: Send account and security emails (such as verification and password reset codes), service-related notifications, and (with your consent) marketing communications.
- Ensure Security: Detect and prevent fraud, abuse, and security incidents.
- Legal Compliance: Comply with applicable laws and regulations.
Legal Bases (GDPR Article 6)
- Contract performance: Processing necessary to provide the Service you requested (account management, dog profiles and pedigrees).
- Legitimate interests: Service improvement, security, and fraud prevention; delivering a message you send to a kennel through its website, which you asked us to do, and protecting the contact form from abuse.
- Consent: Marketing communications, analytics and optional cookies.
- Legal obligation: Tax records, fraud prevention, and legal compliance.
4. Data Sharing
We share your data only in the following circumstances:
- Public Profiles: dog2show is a public database of dogs and kennels. Anyone, including people without an account, can see:
- dog profiles: everything entered about the dog (name, breed, sex, dates of birth and death, color, pedigree number, parents, photos, distinguishing features, breeding and neutering details, results) and its owners' names, except its microchip or tattoo number and the owners' private notes;
- your public profile: your name, and your country and profile photo if you add them;
- for verified breeders, the kennel page: the kennel name, FCI registration number and owner's name, plus the description, photos, contact details and address you enter;
- litter pages: the parents, puppies, description and photos, with the breeder's or kennel name.
- for kennels with a website, the website: the same public kennel, dog and litter data, with the kennel's story in every language and the logos and photos chosen for it.
- Kennels you contact: A message you send through a kennel's website goes to that kennel, with your name, email address and phone number if you gave it.
- Optional details: Anything optional (contact details, a street address, a photo, a description) is shown only if you enter it, and disappears when you remove it. Your account email address, the phone number and address in your account, and archived dogs are not public.
- Co-owners: If you co-own a dog with other users, each co-owner can see the others' names and email addresses so that you can coordinate about that dog.
- Service Providers: We use the following third-party providers who process data on our behalf:
- Amazon Web Services (AWS) — Cloud hosting and database, authentication (Cognito), email delivery (SES), file storage (S3), and content delivery (CloudFront). Data is stored in the EU region (Frankfurt).
- Vercel — Website hosting and delivery.
- Anthropic — Reading pedigree documents and kennel website texts. When you upload a photo of a pedigree, the image is sent to Anthropic's API to extract the ancestors' names and registration details. A kennel's website story is sent to it to be translated into the Service's languages and, when the kennel asks for a draft, the kennel's public data, its current story and any notes the kennel writes for the draft are sent to it to write one. Messages sent through a kennel's website are not. Anthropic is based in the United States.
- Google — Address autocomplete via the Google Places API (only address search queries are shared; no personal identifiers are transmitted), and usage statistics via Google Analytics and Google Tag Manager, only with your consent.
- Cookiebot (Usercentrics) — Cookie consent management. Records your consent choices.
- Legal Requirements: When required by law, court order, or government authority.
We do not sell your personal data to third parties.
5. Data Retention
- Account data: Retained for as long as your account is active. You can delete your account at any time from your profile. Your name, email address, profile, kennel profile, litters and the photos you uploaded for them are then deleted immediately, except where retention is required by law. Remaining copies in our backups and in our content delivery network's cache expire within 30 days.
- What stays after you delete your account: Dogs you owned together with others stay with the other owners. Dogs you owned alone stay on the Service without an owner, with their photos, pedigree data and results, because other dogs' pedigrees depend on them.
- Results data: Retained indefinitely as part of the historical competition record, which is essential to the dog show community.
- Archived dog profiles: Hidden from the public and retained in archived state until you ask us to remove them.
- Messages sent through a kennel's website: Kept for 12 months, then deleted automatically, and deleted earlier if the kennel deletes its account. The daily code derived from the sender's IP address is removed within 48 hours. The copy delivered to the kennel by email is the kennel's own.
- Server logs: Technical logs of requests to the Service, which include IP addresses, are kept for 30 days for security and troubleshooting, then deleted automatically.
6. Your Rights (GDPR)
Under the GDPR, you have the right to:
- Access: Download a copy of the personal data we hold about you from your profile, or ask us for it.
- Rectification: Request correction of inaccurate or incomplete data.
- Erasure: Delete your account from your profile, or ask us to delete your personal data ("right to be forgotten"), subject to legal retention requirements.
- Data Portability: Receive your data in a structured, machine-readable format (the download in your profile is a JSON file).
- Restriction: Request restriction of processing in certain circumstances.
- Objection: Object to processing based on legitimate interests.
- Withdraw Consent: Withdraw consent for processing based on consent at any time.
To exercise any of these rights, contact us at legal@dog2show.com. We will respond within 30 days.
You also have the right to lodge a complaint with a supervisory authority. For users in Serbia, this is the Commissioner for Information of Public Importance and Personal Data Protection.
7. Data Security
We implement appropriate technical and organizational measures to protect your data, including:
- Encryption in transit (TLS/HTTPS) and at rest
- Secure authentication via AWS Cognito with email verification
- Access controls and role-based permissions
- Regular security reviews
No method of transmission over the internet is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
8. International Data Transfers
Your data is stored in the EU, but some of the providers listed above are based in, or process data in, countries outside the European Economic Area (EEA), in particular the United States (Anthropic, Google, Vercel). Where this occurs, we rely on appropriate safeguards, such as the EU–U.S. Data Privacy Framework where the provider is certified, or Standard Contractual Clauses (SCCs) approved by the European Commission.
9. Children's Privacy
The Service is not intended for children under 16. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it promptly.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Service and, where appropriate, by email. The "Last updated" date at the top indicates the latest revision.
